Where lawful and practicable, you can deal with us anonymously or by using a pseudonym (for example, when you make a general enquiry through our website). For most regulated services – including any work that requires a credit assessment, a loan application or identity verification under the AML/CTF Act – we will need to know who you are.

Personal information

This includes information that identifies you or could reasonably identify you. Depending on the service we are providing, we may collect:

  • Identity details — name, date of birth, residential address, contact details.
  • Identification documents required under the AML/CTF Act — driver licence, passport, Medicare card.
  • Employment, income, expenses, assets and liabilities.
  • Bank account, credit card and transaction details.
  • Property details, including any property you intend to buy, sell or refinance.
  • Information about your goals, household and circumstances relevant to assessing a loan.
  • Records of our communications with you (emails, calls, meeting notes, web forms).

Sensitive information

We only collect sensitive information (for example, health information that is relevant to a loan application) where you have consented or where we are legally permitted to do so.

Credit information and credit eligibility information

Where you apply for credit through us, we collect and handle credit information and credit eligibility information as defined in Part IIIA of the Privacy Act. This includes information from credit reporting bodies, repayment history, default information and credit reports.

Government identifiers

We do not use government identifiers (such as a tax file number) as our internal identifier for you. We only collect them where required by law or by a lender.

  • Directly from you, when you contact us, fill in a website form, complete a fact-find, or upload documents.
  • From third parties you have authorised — for example lenders, accountants, conveyancers or financial planners.
  • From credit reporting bodies, where you have consented to a credit check.
  • From publicly available sources, such as property and corporate registers.
  • Automatically through our website (see Cookies and tracking technologies below).

We use your information to:

  • Provide mortgage broking and credit assistance services, including assessing what is suitable for you and submitting applications to lenders on your behalf.
  • Verify your identity and meet our obligations under the AML/CTF Act.
  • Communicate with you about your loan, our service, and matters that arise during the application process.
  • Maintain records as required by law and by our aggregator and lender panel.
  • Improve our service and our website.
  • Send you marketing communications where you have consented (see the next section).
  • Respond to complaints and meet our regulatory obligations to ASIC, AFCA and the OAIC.

When you become a client or enquire with us, we will let you know that we will add you to our database so we can stay in touch about your loan, rate reviews and updates that are relevant to your situation. You can opt out of marketing communications at any time by clicking the unsubscribe link in any email, replying STOP to any SMS, or contacting us using the details at the end of this policy.

We comply with the Spam Act 2003. Every commercial email and SMS we send will identify us as the sender and include a clear opt-out option. Opting out of marketing will not affect the service we provide on any active loan or application.

We do not sell or rent your personal information. However, we may share your data with:

Mortgage Lenders and Partners:
As part of the mortgage broking process, we may share relevant information with lenders, financial institutions, and other necessary service providers.

Service Providers:
Trusted third-party vendors who help us operate our website or provide our services (e.g., IT support, hosting services).

Legal Requirements:
Government authorities when required by law or to comply with legal processes.

Some of the service providers we use store or process information on servers located outside Australia. This means your personal information may be disclosed to overseas recipients. The countries this is most likely to involve are:

  • United States – for cloud-hosted CRM, email marketing, document storage and scheduling tools.
  • No other countries confirmed – e.g. New Zealand, Singapore, the European Union.

By using our service, you acknowledge that your information may be disclosed to overseas service providers as described above. We take reasonable steps to ensure those providers handle your information consistently with the Australian Privacy Principles, including reviewing their security and contractual terms before we engage them.

If you would like a current list of the overseas service providers we use and the countries they operate in, contact us using the details at the end of this policy.

Where we obtain a credit report or other credit information about you, we will:

  • Tell you which credit reporting body we are using and how to contact them.
  • Use the credit information only for the purpose of assessing or arranging credit you have applied for.
  • Hold the information securely and only share it with parties involved in your loan application.
  • Allow you to access and correct that information, and to make a complaint about how it has been handled.

Credit reporting bodies have their own privacy policies that explain how they collect and use credit information. We can tell you which body holds your information so you can request a copy of their policy directly.

Our website uses cookies and similar technologies to recognise your device, remember your preferences, measure how the site is used and improve it. We may also use third-party analytics and advertising tools (for example Google Analytics, Meta Pixel). These tools may set cookies that allow them to recognise your device across other websites.

You can manage cookies in your browser settings. Disabling cookies may affect how parts of the website work.

  • Access – you can request a copy of the personal information we hold about you. We will respond within 30 days. We may need to verify your identity before releasing it.
  • Correction – if your information is wrong, out of date or incomplete, ask us to correct it and we will.
  • Marketing opt-out – you can opt out of marketing emails or SMS at any time using the unsubscribe link, replying STOP, or contacting us.
  • Withdrawing consent – you can withdraw consent we rely on (for example, for overseas disclosure or marketing). Withdrawing consent may mean we cannot continue to provide a particular service.
  • Complaints – see Complaints below.

We take reasonable steps to protect your information from misuse, interference, loss, unauthorised access, modification or disclosure. These steps include access controls on our systems, password protection, secure document storage, staff training and confidentiality obligations on the people we work with.

No system is perfectly secure. If we become aware of a data breach that is likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner under the Notifiable Data Breaches scheme.

We keep your information for as long as we need it to provide our service, meet our legal and regulatory obligations, and resolve any disputes. Mortgage broking records are typically retained for at least seven years after our last interaction with you, in line with the requirements of the NCCP Act and our aggregator. After that period, we destroy or de-identify your information.

If you think we have mishandled your personal or credit information, please contact us first using the details at the end of this policy. We will acknowledge your complaint within five business days and aim to resolve it within 30 days.

If you are not satisfied with our response, you can contact:

  • AFCA – Australian Financial Complaints Authority. www.afca.org.au, 1800 931 678.
  • OAIC – Office of the Australian Information Commissioner. www.oaic.gov.au, 1300 363 992.

We may update this policy from time to time to reflect changes in our practices or in the law.
